Learn about the Auto Close Cash backup feature available on the CAKE Point of Sale (POS) system. Understand how it works, when it activates, and why manual close cash is still recommended.

Introduction to Auto Close Cash

The CAKE system does not currently have a set automatic close cash time. However, there is an Auto Close Cash backup feature designed to ensure that close cash is performed as a safeguard.

 

How Auto Close Cash Works

  • Auto Close Cash Activation: The system performs an auto close cash as a backup 48-72 hours after the first card transaction at 4 am.
  • Close Cash Timer: Once the system identifies the need for automated close cash, a Close Cash timer appears at the top of the screen, counting down until the auto close cash is executed.
  • Manual Override: You can manually close cash at any time, and the timer will disappear.
  • Example Scenario:
    • Transaction Timeline: If the most recent close cash was done on 2/1 at 10 pm and the next card transaction occurs on 2/2 at 8 am:
      • 48-Hour Mark: 24 hours after that transaction is 2/3 at 8 am.
      • 4 am Rule: Since 4 am has passed for that day, the auto close cash won't happen until 2/5 at 4 am (unless done manually before then).

 

Important Notes

  • Tip Entry: Any tips not entered before the auto close cash (or manual close cash) will be lost, as this was not communicated prior to cards batching.
  • Backup Function: The auto close cash feature is a backup function and should not be relied upon for regular close cash processes.

 

Email Notifications

  • Auto Close Cash Email: After an Auto Close Cash is performed, you will receive an email notification. This email is identical to the standard Close Cash receipt email, with the cashier noted as 'System Generated' for the auto close cash sequence.
